That Fleet Services improve the management and financial accounting of the
preventative maintenance program for bus bodies and structures.

Management agrees with this recommendation.
Management recognizes that the conversion from SAP R3 has not been meeting the accountability requirements for a fleet management system. Conversion to Maximus M5, which is scheduled for implementation in October 2008, will substantially improve the management of this program.

Q4 2008

December 2009:  In Progress.

The National Research Council review was completed and signed off by Technical Services.  Training on the new processes and equipment is planned for Q1 2010.  Implementation will commence in Q2 2010.

The consultants finished the review of the maintenance and inspection processes and implementation of the refined processes commenced in August 2009.  It is expected that the implementation of all refined processes will be complete in August 2010.

June 2009:  Subsequent to M5 implementation, data analysis was undertaken and it was determined that data results were corrupt. This has hindered progress from 90% complete to 75% complete. The Corrosion Prevention Program currently underway is a three-phased approach. Phase 3 of the project is under final review with the National Research Council. Once the review is completed, it will then be signed-off by Technical services and flowed back to Transit Maintenance for implementation and scheduling.

Consultants have been working closely with staff to refine maintenance and inspection processes to address this issue. The new processes are planned to start at the end of August 2009 and are to be completed and rolled out to all garages including the new Industrial garage in August 2010. It is expected that this recommendation will be fully implemented by August 2010.
December 2008: M5 Implementation was completed on October 22, 2008. Modifications to processes and verification of data integrity occurred in December 2008. The implementation of a formal Corrosion Prevention Program is slated for Q1 2009.
