Help for entering personal data

Personal Data Overview

  • Your profile is your online resume. Anytime you apply for a job, your application is automatically updated with your personal data. As a City of Ottawa employee, your personal data is automatically filled in with information you provided to HR or updated in your profile/resume. .
  • Ensure the email address you indicate is your preferred email for all communications regarding your profile/resume or applications you submit.
  • Ensure you indicate which phone number is your preferred contact number in case we need to contact you regarding an application you submit.

All information is autosaved, once complete click “Next Step” to continue.

Moving between Steps of Building your Online Resume

  • You can advance between stages of building your online resume by one of two ways:
    • Selecting the step you wish to advance to, for example Education or Training, OR
    • Using the Next Step or Previous Step button found above and below the page content.

Moving between Fields

  • To move between fields, for example, the “First Name” and “Middle Name” Field, use the tab button on your keyboard.

Previewing your Profile/Resume

  • At any stage of building your Profile/Resume, you can click on the Preview step and view your resume and any attachments.
  • To continue to edit your Profile/Resume, click on the step you were working in prior to previewing your Profile/Resume, or click Previous Step.

Frequently Asked Questions

How do I change my personal information?

  • Personal Information can be changed anytime. Simply return to the Personal Data step and update your information.

What will you use my contact information for?

  • Your preferred phone number (or the alternate phone numbers provide if you are unreachable at the preferred number) and email will be used to communicate with you if you progress within a competition you apply for.

Help for entering education and training

Education and Training Overview

  • In this section, enter your Education and Training information.
  • To add Education/Training information click Add below the summary table.
  • Start with your current or most recent education/training, and then indicate all your other education/training in reverse date order.
  • Click Save after each entry, otherwise your changes will not be saved.
  • To add information into the “description” field copy the information in your resume and press “Ctrl + V” to paste.

Education

  • Enter your level of Education (high school / any post-secondary schooling) you have partially or fully completed using the “Level/Type” drop down list.
  • You may choose to indicate your field of study for Education using the “Field” drop down list.
  • Use the “Status” drop down list to indicate whether your Education is in progress, withdrawn, or completed. Withdrawn indicates you have not completed the education and do not intend to at this time.
  • If you acquired your educational credentials outside of Canada you may need to obtain an assessment and recognition of your qualifications as a Canadian equivalency. If you require information regarding your educational qualifications, please contact the Credential Evaluation, Assessment and Qualification Recognition Services.

Training

  • Enter Training information that you have started or completed – training examples include courses in Microsoft Word or Excel, Public Speaking courses, Fleet Management Information for mechanics, or Journeyman for tradespeople.
  • You will have another opportunity to enter languages, licences or certifications you have achieved in the section Qualifications.
  • Indicate your entry as training by using the “Level/Type” drop down list to select Professional Development Course or Other.
  • In the Education Details box, enter the details of your training for example, “Public Speaking course with Toastmasters”.

Frequently Asked Questions

What if I can’t remember the day I started/completed my Education/Training?

  • The month and the year need to be accurate. If you can’t remember the correct day, simply use the first of the month in which you started/completed your Education/Training.

What if I have not completed High School?

  • Use the “Level/Type” drop down list to select the highest level of High School you attained.

What if I don’t enter my employment in order of date from most current to past?

  • The order of entries does not affect your profile or application. You can still sort your employment by date.

Can I format the Education Details text box like my resume?

  • This text box will keep bullets and indentations, but not any changes to the font (i.e. text cannot be bolded, or a change in font type).
  • When you select the Preview step, you will have an opportunity to review the formatting of each Education Details text box.
  • If you would like to change the text after this review, simply click back to the Education/Training step and edit your content by:
  1. Selecting the grey box at the beginning of the row of the entry you would like to edit.

Help for entering work and volunteer experience

Work and Volunteer Experience Overview

  • In this section, enter your Work/Volunteer Experience information.
  • To add Work/Volunteer experience information click Add below the Summary table.
  • Start with your current or most recent experience, and then indicate all your other experience in reverse date order.
  • To add information into the “Duties and Responsibilities” section, copy the information in your resume and press “Ctrl + V” to paste. Provide as much information as possible about your role as this will be used to initially assess your suitability for the position(s) that you apply to.
  • Once you enter your Employer/Organization, indicate whether this is a current employer – if so, you will not be required to enter an end date for your employment duration with that employer.
  • Click Save before selecting Next Step otherwise changes will not be saved.
  • Once complete, follow the same steps to add work/volunteer experience or click Next Step to continue.

Frequently Asked Questions

What if I can’t remember the dates I started/completed my Work/Volunteer experience?

The month and the year need to be accurate. If you can’t remember the correct day, simply use the first of the month in which you started/completed your Work/Volunteer.

What if I don’t enter my employment in order of date from most current to past?

The order of entries does not affect your profile or application. You can still sort your employment by date.

How many employment/volunteer entries can I add?

There is no limit on the number of employment/volunteer entries.

Can I format the Duties and Responsibilities text box like my resume?

  • This text box will keep bullets and indentations, but not any changes to the font (i.e. text cannot be bolded, or a change in font type).

Help for entering qualifications

Qualifications Overview

  • In this section, enter your Qualification information.
  • Use the Add button located below the summary table to add Qualification information.

The summary table has three sub level tabs;

  1. Languages 2. License-Cert-Design 3. Vehicle Operations

  • In the Languages tab use the “Proficiency” drop down list to indicate whether your language skill is beginner, intermediate or advanced.
  • In The License-Cert-Design and Vehicle Operations tab use the “Proficiency” drop down list to indicate whether your qualification is in progress or obtained.
  • Click Save before selecting Next Step otherwise changes will not be saved.
  • To Edit or Delete any qualification entry, select the grey box at the beginning of the row and click the appropriate button.
  • Once complete, follow the same steps to add additional qualifications or click Next Step to continue.

How many Qualification entries can I add?

  • There is no limit on the number of Qualifications entries.

What if I can’t find a particular qualification type?

  • If you can’t find a particular qualification type, use the “Other Qualification” field at the bottom of the summary table to add your entry.

Additional Information Overview

  • In this section, enter any additional information that you have not been able to capture elsewhere in your profile/resume, such as
    • Honours/awards
    • Publications
    • Recommendations
    • Special projects
    • Non-credit courses
  • The “Title” field is mandatory; however fill in all the fields with as much information as possible.
  • Start with your current or most recent additional information and then indicate all your other information in reverse date order.
  • To add information into the “Description” field copy the information in your resume and press “Ctrl + V” to paste.
  • Attachments can be included by browsing your folder for a specific file you want to attach.
  • Once complete, follow the same steps to add additional information or click Next Step to continue.

What will Additional Information be used for?

  • Additional information is an opportunity for you to add specific and unique information about yourself that you believe is important to complete your profile/resume.

What if I don’t have additional information to add?

  • Additional information is not a mandatory section of your profile/resume. Please note that the information you completed in steps 1 – 5 of your profile/resume will be used to initially assess your suitability for the position(s) that you apply to. If you don’t have additional information move on to Attachments.

Adding Attachments Overview

  • Attachments such as resumes, references and certifications/diplomas can be included in your profile/resume by selecting Add. However, be aware that you may need to provide or show originals should you be chosen to proceed in the selection process for any competition that you apply to.
  • Please note that the attachment of documents is completely voluntary, and that the information that you provided in steps 1 – 5 in the Profile/Resume, as well as any questions you answer as part of a specific competition process will be used as the basis to initially screen your application(s) to determine if you qualify to continue in the selection process. Ensure that you fill in these sections with as much information as possible.
  • Ensure that any document you attach supports the information you provide in your profile/resume.
  • Attach your file by selecting Add found at the bottom of the summary table. Fill in all the fields and select Browse to attach the file you would like.
  • To Edit or Delete an attachment, select the grey box at the beginning of the row and click the appropriate button.
  • Once complete, follow the same steps to add additional attachments or click Next Step to continue.

  • Why do I have to attach my resume if I have already included my work experience and education?
  • Attaching a resume is optional. Your profile is your online resume. Ensure that all documents support the information you fill in your online profile/resume.

Preview Overview

  • The Preview section allows you to review your online resume as the last step before completing your profile/resume.
  • If you are satisfied with the information entered in your resume, please select “Completed Profile/Resume” and click Finish.
  • If your resume is incomplete, please select “Draft Profile/Resume”, and click Finish. You can come back and complete your profile/resume at any time in the future.
  • Attachments will appear on the bottom of the page. Use the scroll bar to view all attachments.

How do I make my changes to my resume?

  • To make a change to your resume, click on Previous Step until you reach the section you wish to change. Once the change is made return to the Preview step.

Where I can I view my attachments?

  • Attachments are located at the bottom of the page. To view attachments use the scroll bar on the far right of your screen.

Why am I not able to Preview my Resume?

  • In order to preview your profile/resume make sure that your computer has Adobe Reader (version 7.1 or higher) installed.

Help for my applications

My Applications Overview

  • In this section, you can view all the position(s) that you have applied to in the past, check the status of your applications, and withdraw your application.
  • You can also resubmit an application at a later date (by the competition closing date)
  • Applications must be submitted by the competition deadline in order to be considered.
  • We recommend when applying to a position please ensure that you save a copy of the competition poster – your ability to view the poster is dependent upon your progress in the competition.
  • You can only have one profile/resume. This means that any changes to your profile/resume will automatically change all application(s) you have submitted.

Can I make a change to my profile/resume after I have sent my application?

  • Yes you can. However, only changes prior to the competition deadline will be considered.
  • Any change to your profile/resume (i.e. steps 1-6) will automatically update all your applications (past and present).

Can I make a change to my Questionnaire after I have sent my application?

  • Any change to a response on a questionnaire will require you to withdraw your application and resubmit.
